TIPS FOR SEARCHING THE COURSE REGISTRY

|
Use the Advanced Search option for more refined searches within specifically defined search parameters. For example, to display all "open ministry courses in a specific grade" or "all courses that satisfy the Science 11 or 12 requirements in the 2004 Graduation Program", select the appropriate criteria.

Getting Started
|
- Click Advanced Search to open this option
- Select one or more criteria to narrow the search
- Press Return and amend the search criteria if a 'No Results Found' message is displayed
- Press Return and select additional criteria to narrow the search results if too many results are displayed
- Criteria is entered through Data Entry Fields and/or by choosing an option from a Drop Down List:
- Data Entry Fields - EXACT data must be entered if using the following field(s):
- Course Title (Course Title descriptions use the ampersand sign '&' - not the word 'and')
- Program Guide Title
- Published Description
- External Organization Name
NOTE: use wildcards in data entry fields if you do not have the EXACT description (e.g. under Course Title enter *math* or to find a language course, under Published Description enter *Spanish*)
- Drop Down Lists - to narrow a search use one or more of the following drop down lists:
- Course Type
- Grade Level
- Main Category (Sub Category displayed only if Main Category selected)
- Course Status
- Instruction Language
- Graduation Program (Graduation Program Requirement displayed only if Graduation Program selected)
- Click on the Calendar icon to search using an Open Date or Close Date
- To view courses opening in the future, leave Course Status at the default value of 'Any'. For courses that will open in the future, the Search Results list will display the status as 'future' and the Course Details screen will display the actual opening date.
NOTE:The Course Allowable Credits, Graduation Program Requirements, and Graduation Program Electives boxes will not display if a course does not have a credit value.

COURSE CODE LOOKUP
|
|
The Course Registry links two important data systems to create a unique 7-digit Ministry Course Code:
- MyEd BC (My Education BC) used by most public schools and some independent schools
- TRAX (Transcripts and Examinations System) which tracks and manages graduation requirements for students in Grades 10, 11, and 12
Use the Course Code Lookup for very specific searches by entering a MyEd BC or TRAX course code to display information on an individual course.

Getting Started
|
- Select the system to search, either MyEd BC or TRAX
- Enter the EXACT MyEd BC or TRAX code in UPPER CASE, including dashes or spaces (as per the respective conventions listed below), in order to display a result
- A wildcard (*) cannot be used when entering a MyEd BC or TRAX code

MyEd BC Conventions
|
- Maximum code length is 7 characters: 5 characters for course code and 2 characters for grade
- The MyEd BC code consists of 'type' (1st character), 'course code' (2nd through 5th characters), and 'grade' (6th and 7th characters)
- Hyphens are used as placeholders between the course code and grade if the course code is less than 7 characters long (e.g. Chemistry 11 course code is MCH--11 or MCH <dash dash> 11)
- Grade is always displayed starting in the 6th position of the code
- For Kindergarten to grade 9 courses, when the grade is 3 characters long (e.g. 01A, 02A, 02B, etc.), the last letter is moved in front of the grade and 01A becomes A01. (e.g. the "LD Locally Developed 1A" course code is XLDCA01).
- For grade 10 to 12 courses, when the grade is 3 characters long (e.g. 11A, 12A, 12B, etc.), the 1 is dropped and the grade is displayed as '1A', '2A', '2B', etc. (e.g. Welding 11A and 12A course codes are MWELD1A and MWELD2A)
- The type of course can be determined by the first letter of the MyEd BC code as follows:
M = Ministry; F = French; I = International Baccalaureate; A = Advanced Placement; P = Post Secondary; U = External; C = Career Preparation; Y = Board/Authority Authorized; X = Locally Developed; Q = Equivalent Credit, No Exam
- Click the Clear button at the bottom right of the search screen to clear the current search results and conduct another search

TRAX Conventions
|
- Maximum code length is 8 characters: 5 characters for course code and 2 or 3 characters for grade
- Spaces are used as placeholders between the course code and grade if the course code is less than 5 characters long (e.g. Chemistry 11 course code is CH 11 or CH <space space space> 11)
- Grade is always displayed starting in the 6th position of the code
- If the grade is 2 characters long (e.g. 10, 11 or 12), do not enter a 'blank space' at the end of the grade to fill the 8th character position
- If the grade is 3 characters long (e.g. 11A, 12A, 12B, etc.), the 8th character position is used, (e.g. Welding 11A and 12A course codes are WELD 11A and WELD 12A)
- Click the Clear button at the bottom right of the search screen to clear the current search results and conduct another search
