TIPS FOR SEARCHING THE COURSE REGISTRY


SIMPLE SEARCH OPTIONS


Getting around
  • Click the words "Simple Search" to open (expand) this option.
  • Use "Simple Search Option" if you are not sure of the course details; use "Advanced Search Option" if you want to narrow down your search by providing a specific set of criterion.
Using wildcards
  • Use a wildcard at the end of a word (for example: ma*) to find all the words that begin with "ma"
  • Use a wildcard at the beginning of a word (for example: *ogy) to find all the words that end with "ogy"
  • Do not put a space between your word and the asterisk
  • It is highly recommended that subject words are enclosed in a wildcard for ease of searching (i.e. cafeteria* or *cafeteria training*)
Using keywords
  • Enter only the keyword or keywords. Do not use 'single' or "double" quotation marks or connector words such as and, or, etc.
  • The following fields are searched when a course keyword(s) is entered: Course Title, Course Code, Curriculum Title (IRP), Published Description fields, and Course Codes
  • Entering one keyword (with or without a wildcard) will find all instances of that word in the fields specified
  • Entering multiple keywords will return data where keyword 1 OR keyword 2 are found in the fields specified
  • For multiple keywords, use one space between each keyword; do not use a comma, dash, or other word/character (for example: using 'and' between two keywords will find all the fields containing the word 'and')
Search results
  • To view a result returned by the search engine, click on the Course Title
  • To go back to the Search Results list, click on the 'Return' button
  • To clear the current search results and conduct another search, click the 'Clear' button at the bottom right of the search pane
  • To print or manage your results, select the "view as a spreadsheet" option. You can do this by clicking on the Excel icon on the top right of your results page

BCED ADVANCED SEARCH OPTIONS


Getting around
  • Click the words "Advanced Search" to open (expand) this option
  • Use "Simple Search" option if you are not sure of the course details; use "Advanced Search" option if you want to narrow down your search by providing a specific set of criterion (for example: "all open Ministry courses" or "all courses that satisfy the Science 11 or 12 requirement in the 2004 Graduation Program")
  • Use an ampersand '&' and not 'and' when entering a course title. You must use the EXACT wording for course title to return your result; use wildcards around the title if you get no results the first time
  • One or more of the following search criterion can be entered in an advanced search: Course Type, Grade Level, Main Category, Sub category (only if main Cat specified), Open Date, Close Date, Course Title, Program Guide Title(IRP name), Instruction Language, Published Description, Graduation Program, Graduation Program Requirement, and Organization Name
  • An error message is generated if the combination of search criterion does not make business sense (for example: if you selected "Open" in course status and selected a closed date in the past also)
  • To view a result returned by the search engine, click on the Course Title
Using wildcards
  • Asterisk * is a wildcard that can be used in any text field. Do not put a space between the word and the asterisk (see below)
  • Wildcard searches using an asterisk * can be applied to any of these text fields: Course Title, Course Code, Program Guide Title (IRP), and Published Description fields

COURSE CODE LOOKUP OPTIONS


  • The "Originating System" field allows you to specify the 'parent' system for the course code you wish to search for. Use the radio buttons to select either BCeSIS (BC Enterprise Student Information System) or TRAX (Transcripts and Examinations) code type
  • You must follow the conventions for each respective code type when entering a BCeSIS or TRAX code (see below for conventions)

BCeSIS

  • BCeSIS Maximum Code Length: 7 characters with 5 characters for course code and 2 characters for grade
  • The grade is always displayed starting in the sixth position of the course code
  • Hyphens are used as place holders between the course title and grade if the course code is less than 7 characters long (for example: Chemistry 11 is MCH--11)
  • The course code consists of the 'type' (first character),'course code' (second through fifth characters), and the 'grade' (sixth and seventh characters)
  • For 10-12 courses, when the grade is 3 characters long (for example: 11A, 12A, 12B, etc.) the 1 is dropped and the grade is displayed as '1A', '2A', '2B', etc. (for example: 'MWELD1A', 'MWELD2A' for Welding 11A and 12A)
  • For K-12 Courses, when the grade is 3 characters long (for example: 01A, 02A, 02B, etc.) the 0 is dropped and the letter character is moved to the front of the grade level (01A becomes A1, etc)
  • Course 'types' are: M - Ministry; F - French; I - International Baccalaureate; A - Advanced Placement; P - Post-Secondary; U - External; C - Career Preparation; Y - Board/Authority Authorized; X - Locally Developed; Q - Equivalent Credit, No Exam
  • BCeSIS codes are case sensitive
  • To clear the current search results and conduct another search, click the 'Clear' button found on the bottom right of the search pane.

TRAX

  • TRAX Maximum Code Length: 8 characters with 5 characters for course code and 3 characters for grade
  • The grade is always displayed starting in the sixth position of the course code
  • Spaces are used as place holders between the course code and grade if the course code is less than 8 characters long (see note below)
  • Spaces must be entered between course code and grade when searching if the course code is less than 5 characters (for example: Chemistry 11 is CH 11) where there are 3 spaces between the course code and grade
  • The eighth character is only used if the grade is 3 characters long (for example: 11A, 12A, 12B, etc.) and would be displayed as: 'WELD 11A', 'WELD 12A' for Welding 11A and 12A)
  • TRAX codes are case sensitive
  • To clear the current search results and conduct another search, click the 'Clear' button on the bottom right of your search pane.
