Transcript Information for Active Students


The Ministry of Education provides the following transcript services for students who will graduate during the current school year.

Post-Secondary Institutions (PSI) Selections for delivery of Transcripts

  • Students can provide their transcript information at no charge to a number of post-secondary institutions by completing the Online Post Secondary Institutions Selections form between November and June of each school year via Student Secure Web.
  • This electronic PSI selections form is only to be submitted by students who expect to graduate this year and are applying to a PSI.
  • There is no cost for this service.

Transcripts at the end of July

  • The Ministry produces transcripts at no charge for any active Grade 12 or Adult Graduation Program students who have completed courses during that school year. Revised transcripts are produced on a weekly basis during August and September.
  • Transcripts are mailed to the student address that has been provided to the Ministry by the student's school. The school is responsible for ensuring the Ministry has the current address.
  • The Dogwood Diplomas are mailed to the school board offices for distribution to students who have met graduation requirements.
  • For additional transcripts and/or certificates, please order online.

Transcripts during the school year

  • The Ministry also issues transcripts monthly at no charge during the school year for Grade 12 and Adult Graduation Program students whose transcript activity results in graduation or an upgrade from Regular to Honours standing.
  • The transcripts and diplomas are mailed to the school for distribution to students.
  • For additional transcripts and/or certificates, please order online.

Please Note: Results from August examination sessions are not available in time for September admissions to post-secondary institutions.

Questions and Answers

Q. When will I receive my transcript?

A. Most likely at the end of July. Although the Ministry produces transcripts for new grads on a monthly basis, the majority of students graduate in July. At this time, the Ministry also produces transcripts for Grade 12 and Adult Graduation Program students that are non-grads.

Q. What if I move during the summer?

A. You can submit your address change - including your full legal name and your Personal Education Number (PEN) - directly to the Ministry via email trax.data@gov.bc.ca or fax (250) 356-9460.

Q. How can I get additional copies of my transcript?

A. You can purchase additional copies through the Ministry.

Q. What do I do if there is an error or omission on my transcript?

A. You must contact the last BC school you attended. If that school is closed, contact the school board office. Please do not phone the Ministry, since we cannot make any changes to your record without confirmation from your school. If this is fixed during July-September, we will automatically print and mail you a new transcript. If this happens later in the school year, you will need to have your school contact the Ministry and request a corrected transcript.

Q. I filled out the online Post Secondary Institution (PSI) Selection form. When will my transcripts be sent?

A. At the end of July. We send this information electronically to the majority of BC PSIs, the University of Calgary, the University of Alberta and the Ontario Universities Application Centre. All other PSIs are mailed paper transcripts. If you need your transcript sent to a PSI at a different time of year, you will need to submit a transcript order with payment.

Q. If corrections are made to my transcript, will the PSIs receive a revised version?

A. If the correction is made during August-September, then yes they will. This happens automatically for electronic PSIs. For PSIs that receive paper transcripts, you will have to make a special request to trax.data@gov.bc.ca. Please include your full legal name, your Personal Education Number and the name(s) of the PSI(s).

Q. I did not receive my certificate (or diploma) when I graduated.

A. Please contact the last BC school you attended, as they are responsible for distributing Certificates to students.
