Appendix A - School Completion Certificate Program
Reporting Locally Developed Courses

TRAX Reporting Requirements & Procedures

In the 2006-07 school year all students receiving the School Completion Certificate Program credential, will be issued transcripts showing all successfully completed credit and non-credit Grade 10 – 12 courses.

Many of these students will be taking non-credit Locally Developed (LD) courses, such as remedial or modified courses. To be included in student transcripts, schools will need to report the course codes of these completed courses to the ministry through the TRAX system.

A. For reporting to TRAX this June 2007, schools and authorities may use:

NOTE: For June 2007 only, schools will not be required to receive board approval to use the courses in Tables 1 and 2. This is to enable schools to construct a student’s history for transcript purposes, as this was never a requirement in prior years.

B. For reporting to TRAX for the 2007/08 school year schools and authorities may use:

    1. LD courses reported on the Form 1526 in November 2006 for use in the 2007/08 school year, and
    2. The new LD courses (generic and specific descriptive course codes) listed in Table 1 and Table 2 of this document.

NOTE: As per usual process, schools will need to receive board approval to use any of these new course codes, including the generic course codes.
Ensure that prior to June 30, 2008 boards have approved all LD courses for use in 2008/09.

C. For reporting to TRAX for the 2008/09 school year, schools and authorities may only use:

    1. The new LD courses (generic and specific descriptive course codes) listed in Table 1 and Table 2 of this document.

NOTE: All other LD course codes will be closed as of August 31, 2008.

All these course codes can be used for reporting student progress from as far back as September 1, 2000. As of August 31, 2006, all LD courses available to students are non-credit courses. LD courses that Boards/Authorities wished to continue to offer to students for credit were to have been converted to Board/Authority Authorized (BAA) courses.

1. Generic Locally Developed Courses

Generic course codes offer flexible reporting options for schools, since their course descriptions can be customized at the school level. Please consider using these generic non-credit Grade 10 -12 LD codes when reporting transcript data to the Ministry. Refer to Table 1 for a complete listing of generic course codes.

If a student wishes to take several courses in one subject area then the simplest method is to use the LD generic codes. For example, if a student is enrolled in two LD Fine Arts courses in Grade 10, use XLDC 10A, and XLDC 10B. For these courses to appear on transcripts with descriptive rather than generic course titles use the “Course Description Field” to provide them with descriptive titles, such as “Fine Arts – Painting” and “Fine Arts – Sculpting”. See Chapter 6 on “Data Exchange” of the Handbook of Procedures for the Graduation Program for details.

NOTE: The course title submitted to TRAX in the free text “Course Description Field” will appear on the student’s transcript exactly as submitted. Please ensure that these titles are meaningful and spelled correctly.

2. Additional Locally Developed Courses  

Locally Developed course codes for non-credit courses can be found on pages 168 and 169, Course Information for the Graduation Program Grade 10, 11 and 12 Courses 2007-2008. Additional LD courses have recently been added and are now available within TRAX to assist with SCCP reporting. Refer to Table 2 for a complete listing of additional course codes.

To avoid an ever increasing list of course codes, any future expansion to the listing of available non-credit LD modified or remedial courses will be through generic codes that schools, school boards and authorities can access readily and customize using the “Course Description Field”.
